The Opportunity
Vendor onboarding is where procurement risk is created. A supplier's financial standing, tax registration, banking details, safety record and three years of balance sheets all need verifying — by different departments, in sequence, with an audit trail. Doing that over email means the approval history lives in someone's inbox. Bulwark needed approval to be a workflow with a memory.
The Result
Eliteware delivered a vendor management and e-sourcing ERP that makes approval a workflow with a memory:
- Vendor onboarding capturing GST, PAN, MSME and ISO registrations with document attachments, banking and payment information, external provider contacts, and three years of balance sheets.
- A multi-department approval workflow — financial, technical, HR and safety — each tracked independently with full approval history.
- Purchase Request management with an approved/pending/rejected/draft lifecycle.
- RFQ management across commercial bid, technical bid and final price bid approval stages.
- Reverse and forward auction management.
- A twenty-six-item master data layer covering employees, roles and permissions, departments, designations, material types, currencies, projects, plants, locations and approval matrices.
